About the Role
The Southern Bayside Area (SBA) Aboriginal Strategic Governance Forum Secretariat position, specifically within the Koorie Caucus, involves providing high-level administrative and secretariat support to the Caucus and its members. This includes facilitating communication, coordinating meetings, managing information, and supporting the Caucus members in its engagement with government departments to achieve outcomes set by the area. The role requires strong organisational, communication, and interpersonal skills, as well as a deep understanding of Aboriginal communities and issues. In essence, the Secretariat’s role is to ensure the smooth functioning of the Koorie Caucus, allowing its members to focus on their core objectives and responsibilities.
Key Responsibilities
Secretariat Support:
- Providing comprehensive support for the Koorie Caucus, including meeting coordination, information management, and document preparation. Also provide support in project management, including planning, risk assessment, and stakeholder engagement. Ensuring agreed-upon outcomes are achieved.
Communication Facilitation:
- Serving as a central point of contact for Caucus members and ensuring effective communication and information flow. This includes responding to incoming communications, distributing information, and maintaining relevant databases.
Stakeholder Engagement:
- Building and maintaining strong relationships with government departments, sector partners, internal and external stakeholders and the Aboriginal community.
Meeting and Event Coordination:
- Managing logistical aspects of meetings and events, including scheduling meetings, arranging venues, managing catering, preparing briefing papers, agenda preparation, and material distribution that facilitates informed decision-making. Handling travel and accommodation for attendees, when required.
Information Management:
- Ensuring accurate and timely information is available to stakeholders and maintaining proper records. Researching topics related to the Caucus’ work, preparing reports, and drafting recommendations. Managing meeting minutes, correspondence, and other important documents.
Project Support:
- Assisting with the execution of projects and initiatives relevant to the Koorie Caucus.
Policy and Advocacy Support:
- Supporting the Caucus in its policy development and advocacy efforts. Providing guidance on the rules, regulations, and best practices relevant to the Caucus.
Community Engagement:
- Building and maintaining strong relationships with Aboriginal communities and stakeholders.
Awareness of Aboriginal Issues:
- Demonstrated understanding of Aboriginal communities and cultures, and commitment to ongoing learning.
Commitment to Self-Determination:
- Demonstrated commitment to Aboriginal self-determination and supporting strong Aboriginal communities.
Skills & Experience
- Exceptional written and verbal communication skills, including the ability to communicate effectively with diverse stakeholders.
- Proven ability to manage multiple tasks, prioritise effectively, and meet strict deadlines.
- Demonstrated ability to build and maintain positive relationships with a variety of stakeholders. Act at all times in a professional manner and maintain confidentiality.
- Awareness and understanding of Aboriginal issues, policies, and cultural protocols.
- Experience providing secretariat support to committees or groups.
- Demonstrated commitment to quality and continuous improvement, and ability to apply policies and procedures.
- Ability to work effectively as part of a team and collaborate with others.
Mandatory Requirements
- Current Victorian driver’s licence
- National Police Certificate (not older than 3 months)
- Victorian Employment Working with Children Check
