Positions Available: 4 (Across Vancouver, Calgary, and Ottawa)
Duration: March – January (Mentorship Cycle)
Status: Volunteer, Part-Time
Weekly Time Commitment: 3 – 5 hours (seasonal variation; higher during event periods)

Role Overview
As an Events Coordinator, you will play a key role in planning, coordinating, and executing events and initiatives across MAX programs. You will help ensure events run smoothly, facilitate communication among participants and stakeholders, and contribute to creating a positive, engaging experience for all involved. Strong organizational skills, attention to detail, and a collaborative approach will be essential to the success of MAX events.
Key Responsibilities
- Assist with planning and organizing mentorship events and activities throughout the program cycle.
- Coordinate logistics for events, including scheduling, venue arrangements, and participant communications.
- Facilitate smooth execution of events by liaising with volunteers, mentors, mentees, and other stakeholders.
- Maintain accurate records of event participation and feedback to inform future planning.
- Support City Leads and Industry Pod Managers with event-related administrative tasks and follow-ups.
- Collect and communicate participant feedback to continuously improve the quality and impact of events.
Qualifications
- Plan, organize, and execute mentorship events such as meetups, kick-offs, and graduations in coordination with city leads and the mentorship team.
- Manage event logistics including venue booking, catering, equipment setup, and volunteer coordination.
- Collaborate with Communications and Volunteer Coordinators to promote events and ensure strong participation.
- Serve as the main point of contact for vendors, volunteers, and attendees before and during events.
- Track event attendance and gather feedback to improve future events.
- Support outreach efforts to engage new participants and community partners through events.
- Ensure events align with MAX’s values and provide a welcoming, inclusive environment for all attendees.
