Dermatology for Animals (DFA) is looking for a warm, reliable Client Services Representative to join our specialist dermatology team at Stafford in Brisbane. This is a non client-facing, office-based role supporting our patients, clinicians and nurses through phone, email and administrative coordination.

This position is ideal for someone who is organised, detail-oriented, and confident managing communication and systems behind the scenes. You will play a critical role in ensuring smooth workflows, clear communication, and continuity of care for our patients and referring practices. For more than 25 years, Dermatology for Animals (DFA) has been a trusted referral centre for advanced veterinary dermatology across Queensland. Established in 1998, we are known for thoughtful case management, clinical excellence, and long‑term partnerships with both clients and referring veterinarians.

We work almost exclusively with patients managing chronic skin and ear conditions. That means our clients aren’t just booking appointments – they’re entering into ongoing care relationships. Our Client Services team plays a vital role in making that experience supportive, clear, and reassuring.

Job Description

About the Role

As a Client Services Representative, you will be the first point of contact for our clients and referring practices. Your role will focus on managing inbound and outbound communication and providing administrative support to ensure the clinic operates efficiently.

Your responsibilities will include:

  • Managing incoming phone calls and email enquiries in a clear, professional manner
  • Coordinating specialist consultations, rechecks, and procedure bookings
  • Processing referrals and liaising with referring veterinary practices
  • Supporting clients with appointment logistics and general enquiries via phone and email
  • Maintaining accurate patient and client records
  • Completing administrative tasks to support clinicians and nursing staff
  • Assisting with invoicing, payments, and document management
  • Helping create a calm, organised, and compassionate clinic environment

Qualifications

Who We’re Looking For

We’d love to hear from you if you:

  • Have at least 2 years’ experience in client service, medical administration, veterinary reception, or a similar role
  • Are seeking a part-time position, working 3 days per week, 8:30am – 5:30pm
  • Enjoy supporting clients through phone and email communication, with a focus on clarity and professionalism
  • Have excellent computer skills and strong attention to detail
  • Demonstrate high emotional intelligence and communicate clearly, calmly, and confidently
  • Are organised, adaptable, and professional in a specialist medical environment
